What this policy covers
This policy covers enquiries, business relationships, website use and the delivery of language services. For media teams, that can include subtitles, captions, audio, scripts, live feeds, project files and platform accounts.
When we handle personal data in your content on your organisation's instructions, we act as a processor where applicable. The service agreement and any data processing agreement govern that work. Your organisation remains responsible for its purpose, lawful basis and notices to the people concerned.
The information we handle
Depending on your relationship with us, relevant information may include:
- Contact and organisation details, correspondence, project briefs, order history and billing information.
- Account details, user permissions, support requests and activity needed to operate a self-managed workflow.
- Personal data in source media, transcripts, subtitles or audio supplied for a project, including identifiable voices or images.
- Website usage and device information, including cookie-related data where the relevant technology is enabled.
- Application and professional information if you apply to work with us.
We receive information from you, your organisation, authorised project participants and, where relevant, public professional sources. Please share only what the project needs and tell us before sending sensitive material.
Why we use it
We use relevant information to answer enquiries, prepare and deliver orders, support customers, administer payments and business records, understand service needs and communicate appropriate offers.
Our legal basis depends on the activity: steps towards a contract or its performance; legal obligations; legitimate interests such as managing business relationships and securing our services; or consent where required. For business contacts, the contract may be with their organisation rather than the individual.
Where we rely on legitimate interests, we consider the impact on the person. Where we ask for consent, it can be withdrawn without affecting earlier lawful processing.
Project content and technology
A project brief should identify the content, languages, recipients and processing methods in scope. Please tell us about confidentiality restrictions, sensitive content and approved systems before the work starts.
Managed services may involve authorised language specialists and technical providers. Self-managed and live workflows may involve speech recognition, translation, voice processing or streaming integrations, depending on the agreed service. Any project-specific restrictions on AI, model training, hosting or subprocessors should be recorded in the service or data processing agreement.
A connection to your own streaming or in-house system may also involve that provider's terms and privacy practices.
Who may receive information
Access is limited to authorised staff and suppliers supporting the work, such as IT, accounting and language-service providers. Authorities may receive information where disclosure is legally required.
Where personal data is transferred outside the European Economic Area, we use an applicable transfer mechanism, such as an adequacy decision or approved contractual safeguards, where required. Contact us for information about safeguards relevant to your service.
We use appropriate organisational and technical measures to protect information. The service agreement can specify additional requirements for your project.
How long we keep information
Business relationship records are generally retained during cooperation and for five years after the last completed order. Contracts and accounting records follow applicable Latvian retention requirements.
This does not set a blanket five-year period for all uploaded media. Project files, live recordings, platform workspaces and backups need a retention or deletion arrangement appropriate to the service. Ask us to confirm this in your order or data processing agreement.
Relevant records may be retained longer where a legal obligation or a specific dispute requires it.
Your rights and choices
Subject to the applicable conditions, you can request access, correction, deletion, restriction or portability of your personal data, and object to processing. You can withdraw consent at any time and object to direct marketing.
Send a request to info@linearis.io. We may ask for information needed to confirm your identity or locate the records. We respond within the applicable legal period, normally one month. Where we process content for another controller, we may direct the request to that organisation or assist it.
You can complain to Latvia's Data State Inspectorate at dvi.gov.lv, or to the competent supervisory authority where you live or work.
Refunds, questions and updates
Cancellation, refund and service-complaint provisions are set out in the Terms of Service. They are separate from your privacy rights.
